Groups are an easy way to add or remove multiple users to or from a room or link vs. individually adding/removing users to/from rooms/links. If you have not already implemented the use of groups, you may want to consider this option as managing your teams membership will be much easier.


There are two main group types, local groups and external sync groups. A third type of group is a user attribute group, which can be set up as local or sync. 



Types of Groups


Local Groups


External Sync Groups

  • External groups are synced to the app from an external system such as Azure, Google Workspace etc. 
  • This allows you to manage the group membership from an outside system, which will require some assistance from Konverse support for set up. 
  • If you choose to sync groups, you must also sync over your member list. 
  • You are able to change to a user/group sync even if you have already implemented your system and have active users.

User Attribute Groups

  • User Attribute groups allow you to create a group which is updated based on a member profile field(s)
  • These fields can pull from a local field (updated directly in Konverse) or a field which is syncing over users from another system (field is filled out in external system and updates in Konverse).

Where to Manage Groups


Member Management 

Group updates take place in "member management" and can done by Team Admins, App Admins or Super Admins. 


To locate this page, search and then click on "Member Management" in the left hand navigation.


Open Member Management and select Group Management. Here you can see all the groups created within you system, and make any necessary updates. Please refer to the links provided above which outline how to use member management based on your group type.



Member Management - "Rooms to Group" Tab

From the member management page, you'll see a tab called "Room to Group" which will display all the rooms tied to each group. This page allows you to search for a room by name, and see all the groups associated with each room. You also have the ability to add or remove groups from rooms as well.


Search for a room

Click into the dropdown field called "Select room to view groups", and select the name of the room. Below you'll see the results to each group tied to the room, and if they are an owner or member group. 


Remove a group from a room

Once you have selected your room from the dropdown, you may remove a group from the room by clicking on the the trash can icon to the right of the group name. This will remove the group from the room. See icon circled in the screenshot above.



Add a new group to a room

Once you have selected your room from the dropdown, you'll see a section called "Add group to room". Click the "Member" or "Owner" field depending the type of group you would like to add. Once you select member or owner, search for the group in the drop down below, and click "Link room to group".



Within Rooms/Loops

Groups can be added and viewed directly at the room level. This functionality is available to Team Admins, App Admins, Super Admins and Room Owners.


Add a new group from the room

From a room, click on the "Members" tab in the center panel and click on "Add Members". Click into the "Owners" or "Members" field depending the type of group you would like to add. Search and select the new group, and click "Save changes". 


View groups mapped to the room

From the room, click on the "settings" tab from the center panel and scroll down to the Groups section. This will display which groups are mapped and if they are owner or member groups.



Rules of Mapping


The rules of mapping outlined below apply to Sync groups, Local groups and User Attribute groups.  


Once a user is added to a group, regardless of how they were initially added to the room(s)

  • User will be removed from mapped room(s), if the user is removed from the group(s)
  • User will be removed from mapped room(s), if the users group is removed from the room(s)
  • User will be added to mapped room(s), if the user is added to a group
  • User will be added to mapped room(s) if the users group is added to the room(s)


Room Ownership 

  • Room ownership will remain if user is later mapped to a room via a member group
  • If a user is added to a room via a member group, they can be promoted to owner and demoted to member directly at the room level
  • If a user is mapped to a room via an owner group and member group, the user is demoted to a member if the owner group is removed
  • If a user is part of an owner group, their ownership cannot be remove unless they are removed from the owner group and added to a member group
